The type of personal information we collect

We currently collect and process the following information:

How we get the personal information

Most of the personal information we process is provided to us directly by you.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From your business colleagues directly
  • From Business Partners who share your information with us so that we can contact you about a relevant service
  • Other sources, such as publicly available directories and information (for example, telephone directory, social media, internet, websites, news articles, conference proceedings, exhibitions)

Why we collect and hold your personal information

We only use the information that you have given us for the following purposes, if relevant:

  • To provide you with an accurate proposal for work requested.
  • The management of projects you are associated with, including sharing of information, as needed, with external business partners.
  • The management and auditing of our business operations.
  • For our own market research.
  • For direct marketing communications.

Sharing your data

We may provide your personal information to third parties to process the information on our behalf. We require that these parties agree to process this information based on our instructions and requirements consistent with this Privacy Notice.

How we store your personal information

Your information is securely stored within our business systems such as Microsoft Outlook, Microsoft Teams, Microsoft OneDrive and Microsoft Sharepoint.

We retain personal information for as long as we have reasonable business needs (such as managing an ongoing relationshipw with you, and auditing our operations), and for as long as we provide services to you including any time for follow up. We operate retention periods in line with legal and regulatory requirements.. We will then dispose your information by deleting your information from our secure business systems. Any paper documentation will be securely shredded and recycled using a business service.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
